The client needed a structured way to introduce new photographers to their internal workflow for high-speed sports coverage. The existing process relied on email chains and shared folders, which caused delays in equipment assignment and location briefing.
We designed a portal that centralises the three main steps: equipment check-out, location data sheets, and post-shoot delivery guidelines. Each step includes a checklist specific to the type of event — track athletics or mountain biking — because the gear and safety protocols differ significantly.
The portal was built as a private section within the existing site. Photographers log in, select their event type, and receive a tailored list of required lenses, memory cards, and permits. The system also generates a PDF summary that can be shared with the event organiser.
The average time from assignment to field readiness dropped from two days to four hours. The client reported fewer missing items on location and clearer communication about shooting restrictions in sensitive areas.
